Shoply System for Store Management, Point of Sale, Sales, and Purchases

The Shoply system, provided by Linkysoft, is a comprehensive business management tool designed to streamline store operations. One of its essential functions is the ability to manage purchases effectively. This document will guide you step-by-step on how to add new purchases in Shoply. The process involves selecting the purchase date, choosing the supplier, and adding the items to be purchased. Every action will be explained in detail to ensure a smooth and straightforward experience.

Steps to Add a New Purchase

1. Navigate to the Purchases Section

From the dashboard, go to the left-side menu: Purchases > Add Purchase

2. Select Date and Reference

Once you're on the Add Purchase page, fill in the relevant fields for the purchase:
- Date: Enter the date of the purchase.
- Reference: If needed, input a reference number or code for the purchase.

3. Add Products

In the Product section, you can search for items by code or name. You can also use a barcode scanner if available. Search product by code or name

After selecting the product, specify the Quantity and Unit Cost for each product. The system will automatically calculate the Subtotal for each item.

For example:

  • Product: Bicycle (12456)
  • Quantity: 1
  • Unit Cost: 8699.00
  • Subtotal: 8699.00

Add more products as needed, and the total will be updated accordingly.

4. Select Supplier and Received Status

Next, choose the supplier for this purchase from the dropdown menu: Supplier: Default Supplier

Also, specify whether the products have been received or not using the Received dropdown: Received: Yes/No

5. Attachments and Notes

If you have any relevant attachments (such as invoices), you can add them by clicking on the Choose file button.

Additionally, you can leave any notes related to the purchase in the provided text field.

6. Finalizing the Purchase

Once all details have been entered, review everything to ensure accuracy. Finally, submit the form to complete the purchase entry. The purchase will now appear in the list of purchases for future reference.

By following this guide, adding new purchases in Shoply is a simple and efficient process. The system allows you to record all necessary details such as the purchase date, supplier, and products, ensuring that your records are always up to date.
